Terms and Conditions for Clients
Four Hundred Holdings, LLC

Welcome to Four Hundred Holdings, LLC. These Terms and Conditions outline the agreement between you (“Client”) and our Travel Advisors who provide travel planning and booking services on behalf of our agency. By engaging our services, you agree to the terms outlined below.
1. Services Provided
1.1 Advisors provide personalized travel services, including but not limited to:
Booking flights, accommodations, transportation, and travel experiences.
Crafting customized itineraries and destination recommendations.
Assistance with travel insurance, visas, and other essential travel needs.
1.2. All services are subject to availability and governed by the terms of third-party suppliers (e.g., airlines, hotels, and tour operators).
2. Bookings and Payments
2.1 Clients must provide accurate personal information, including traveler names, travel dates, and preferences, for all bookings.
2.2 Payments for services are subject to the terms set by third-party suppliers. Payment schedules, deposits, and deadlines will be communicated by your Advisor.
2.3 Failure to make timely payments may result in cancellations, penalties, or forfeiture of reservations.
3. Pricing and Fees
3.1 Pricing is determined by suppliers and is subject to change based on availability, currency fluctuations, and other factors.
3.2 Service fees for consultation, itinerary changes, cancellations, or additional services may apply. All applicable fees will be disclosed upfront by your Advisor, and planning fees are 100% non-refundable regardless of if the trip takes place.
4. Cancellations and Refunds
4.1 Cancellation policies are governed by individual suppliers and will vary depending on the services booked.
4.2 Refunds, when applicable, are subject to supplier policies and processing times.
4.3 Advisors within Four Hundred will assist in coordinating cancellations and refunds but cannot guarantee outcomes.
5. Travel Documents
5.1 Clients are solely responsible for ensuring they possess valid passports, visas, and any other required travel documentation.
5.2 Advisors will provide guidance if requested but are not liable for issues resulting from incomplete or invalid documentation.
6. Limitation of Liability
6.1 Four Hundred Holdings, LLC act as intermediaries between Clients and travel suppliers (e.g., airlines, hotels, tour operators).
6.2 The Agency, its network, and its Advisors are not liable for:
Errors, omissions, or changes made by third-party suppliers.
Delays, cancellations, accidents, or loss of property during travel.
Additional costs incurred due to unforeseen circumstances, including but not limited to natural disasters, strikes, delays, geopolitical events, global events, or events commonly referred to as ‘acts of God.’
7. Client Responsibilities
7.1 Clients are responsible for reviewing all booking confirmations and notifying their Advisor of any discrepancies immediately.
7.2 Clients must adhere to all terms and conditions set forth by travel suppliers.
8. Privacy and Data Protection
8.1 Four Hundred Holdings, LLC and its Advisors collect personal information necessary to fulfill travel requests.
8.2 Personal data is shared only with suppliers and partners required to execute travel plans.
8.3 Personal data is stored in a secure location in our CRM in an encrypted format
8.4 All advisors sign a binding Non Disclosure Agreement but may have occasion during the planning process to share personal information with third party travel suppliers. This includes, but is not limited to, passport details, client credit cards, etc.
9. Force Majeure
9.1 Four Hundred Holdings, LLC, and its Advisors are not liable for failure to deliver services due to events beyond their control, including but not limited to acts of God, war, terrorism, pandemics, or government restrictions.
10. Marketing and Intellectual Property
10.1 Clients may not use the Four Hundred Holdings, LLC names, logos, or branding without prior written consent.
10.2 Any promotional materials provided to the Client remain the intellectual property of the Agency.
11. Changes to Terms
11.1 Four Hundred Holdings, LLC reserves the right to update these Terms and Conditions at any time. Clients will be notified of significant changes that may affect their bookings or rights.
By engaging the services of an Advisor, you acknowledge that you have read, understood, and agree to these Terms and Conditions.
